Service Department Administrator Full-Time

Provides support to the project administration and project management within the Service Department. The Service Department Administrator will work alongside the Service Department Supervisor in ensuring the timely scheduling of service calls, accurate information and communication, and data entry. The service department administrator will be responsible for facilitating, reporting and analyzing customer requests, necessary documentation, and technician scheduling. Essential Duties and Responsibilities Assists the Service Department by performing the following: - Aid in the preparation of project proposals, invoices, and relevant project documentation - Maintain accurate records of all information related to projects for documentation, clarification, and presentation to management - Liaise with clients to identify and define project requirements, scope, and objectives - Assist in monitoring and tracking project progress, scheduling, and project status - Offer general assistance to Project Administrators as needed - Provide support with miscellaneous data entry Performs general administrative duties to the Office Administration by assisting with the following: - Answering, screening, and directing telephone calls - Assisting with related clerical duties such as photocopying, faxing, filing, and collating Other duties may be assigned.

  • Education and/or Experience: Associate's degree (A. A.) or equivalent from two-year College or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.
  • Language Skills: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Mathematical Skills: Ability to add, subtract, multiply, and divide all units of measure, using a whole number, common fractions, and decimals. Ability to compute rate, ratio, and percent, and to draw and interpret bar graphs.
  • Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations
  • Computer Skills: To perform this job successfully, an individual should have knowledge of Excel Spreadsheet software and Word Processing software.
  • Able to work under constant pressure and perform well in order to complete the required targets.
  • Customer and Personal Service — Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Clerical — Knowledge of administrative and clerical procedures and systems such as word processing, managing files, and records, stenography and transcription, designing forms,
  • English Language — Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Other Qualifications: Able to work under constant pressure and perform well in order to complete the required targets.
